Proposal Coordinator

Overview: We are seeking a Proposal Coordinator to join our innovative, growing team.


• Collaborate with senior leadership, proposal directors, managers, and business development in identifying opportunities, managing proposals from start to finish in response to RFIs, RFPs, and client solicitations.
• Oversee all proposal activities, including coordination of proposal schedules, meeting goals, deadlines, and monitoring the progress of proposals.
• Partner with the executive team and managers to integrate a win strategy and solution into a proposal structured for compliance and ease of evaluation.
• Assist in the organization, writing, development, and respond to Requests for Qualifications (RFQs) and Requests for Proposals (RFPs).
• Attend and participate in pre-proposal debriefings.
• Assist in developing and creating a uniform, strategic theme while adhering to company policies and growing business needs reflected in the proposal responses, proposal outlines, and the planning and development of presentations to the executive and management team.
• Update and maintain project opportunities, project descriptions, contacts, and clients.
• Partner with the executive team and management to capture and exchange feedback in meeting proposal goals and deadlines.
• Support, review, proofread technical content, creating compelling and captivating narratives within the proposals to ensure compliance and responsiveness to the customer’s issues and needs.
• Assist in creating the proposal outline that will be used as a key document design, template, style guide, and control medium.
• Analyze the RFP/bid requirements against the proposal outline to ensure both compliance and responsiveness in addressing the customer’s issues and needs.
• Assist and support in building out the proposal compliance matrix and track the fulfillment of all requirements from start to finish partnering with key stakeholders.
• Coordinate, assemble, check and/or schedule administrative functions in support of the production of assigned proposal.
• Maintain proposal content and creation of a past performance database with up-to-date, relevant, information.
• Conducts lessons learned and continuous improvement in proposal management.
• Conduct regular proposal progress status meetings and maintain the proposal schedule
• Develop and execute a review plan for interim and final reviews of the technical and management proposals.
• Ensure that review comments are incorporated into the proposal.

• Minimum of 2-3 years of federal government contract proposal coordination experience including proposal capture, business development experience, and exposure.
• Experience with planning and successful execution of deliverables with a stellar, proven success rate, effective, proposal coordination and management, technical writing, planning, strategizing, developing, and producing cost narratives for proposal submission with a win strategy and solution for optimal success.
• Excellent written and verbal communication and interpersonal skills.
• Excellent computer and organizational skills, attention to detail.
• Proficient with Microsoft Office platforms. Knowledge, Skills, and Abilities:

• Proposal writing and editing.
• Proactively engages in proposal center excellence and quality initiatives in collaboration, engages, and interacts with the executive and key management team.

Bachelor’s degree in Journalism, Communications, English, or related field.
