Accounting Assistant

An Accounting Assistant is a professional who is responsible for maintaining budgets and financial records, running reports, and recording a wide range of transactions. Their duties include providing administrative assistance to accountants as well as preparing statements that confirm the accuracy of database information. This role will be helping with day-to-day tasks related directly to accounting, which means that precision is essential.

A successful Accounting Assistant must have excellent attention to detail and good verbal and written communication skills. They should also have computer literacy for this position’s work environment. The ability to manage various workload volumes is also essential, as that might fluctuate daily. They also ensure accurate data entry using bookkeeping databases, spreadsheets, and software to post financial transactions. They receive vouchers or cash for customer accounts and prepare bank deposits for said funds. They will prepare budgets and records as needed and may perform other administrative duties, such as making presentations about financial reports. They will also ensure all transactions under their purview have been accounted for accurately and on time.

Accounting Assistant responsibilities include:
• Creating and updating forms
• Verifying totals, coding and processing expense reports
• Provide accounting and clerical support to the accounting department
• Type accurately, prepare and maintain accounting documents and records
• Prepare bank deposits, general ledger postings and statements
• Reconcile accounts in a timely manner
• Timely data entry
• Provide assistance and support to company personnel
• Research and track accounting or documentation problems and discrepancies
• Function in accordance with established standards, procedures and applicable laws
• Constantly update job knowledge
• Issue invoices to customers and external partners, as needed
• Reconcile invoices and identify discrepancies
• Prepare bank deposits
• Enter financial transactions into internal databases
• Maintain digital and physical financial records
• Participate in annual audits

Requirements and skills
• Associate’s degree or higher preferred but willing to consider someone with more years of hands on experience in lieu of a degree
• One or more years as an Accounting Assistant or Clerk
• Familiarity with bookkeeping and basic accounting procedures
• Good math skills and the ability to spot numerical errors
• Good organizational skills
• Ability to handle sensitive, confidential information
• Competency in MS Office, databases and accounting software
• Hands-on experience with spreadsheets and financial reports
• Accuracy and attention to detail
• Ability to perform filing and record keeping tasks
• Data entry and word processing skills
